Privacy policy

What we collect, why, who sees it and how to get it corrected. Written to the Australian Privacy Principles.

The short version. We collect what we need to take your order, get it to you, and look after you afterwards. We do not sell personal information and we do not run advertising trackers on this site. Card details go straight to our payment processor and never touch our systems.

Who we are

This policy explains how All West Softwash (ABN 29 691 110 979) of Unit 5 / 100 Prinsep Road, Jandakot WA 6164 ("All West", "we", "us") collects, holds, uses and discloses personal information, and how you can access it or complain about how it is handled. We are committed to handling personal information in accordance with the Australian Privacy Principles in the Privacy Act 1988 (Cth), whether or not the Act requires us to.

What we collect

The kinds of personal information we collect depend on how you deal with us:

  • Contact and identity details: your name, business name and ABN, phone number, email address, and postal and delivery addresses.
  • Order details: what you bought, when, at what price, how it was delivered, your order history, quotes we have given you, and any warranty or return claims.
  • Payment details: when you pay online, your card details are entered into a form served by Stripe, our payment processor, and go directly to Stripe. We receive a confirmation of payment, the card type and the last four digits, but never the full card number. For trade accounts we hold the account details and payment history you give us.
  • Communications: emails, messages, phone notes and enquiries, including anything you tell us about your equipment or the job you are doing so we can advise you.
  • Website and device information: the IP address, browser type, pages requested and time of request in the server logs kept by our hosting provider, used for security and to keep the site working. We do not use these to profile you.

We do not ask for sensitive information (such as health or racial information) and ask you not to send it to us. If you give us personal information about someone else, for example a delivery contact, please make sure they know and agree.

How we collect it

We collect personal information directly from you when you place an order, set up a trade account, use the contact form, call or email us, ask for a quote, or buy at the warehouse. We also receive information from carriers (delivery status and proof of delivery), from Stripe (payment confirmation and fraud signals) and, for trade accounts, from the references and credit checks you agree to.

You can browse the site, use the calculators and read resources without giving us any personal information.

Why we use it

We use personal information to:

  • process, pack and deliver your order, and tell you where it is;
  • take payment and issue invoices, receipts and credit notes;
  • answer your enquiries and give you advice about products;
  • handle warranty claims, returns and complaints, including with manufacturers;
  • manage trade accounts, credit and debt recovery;
  • keep the records we must keep under tax, accounting and consumer law;
  • protect against fraud and keep the website secure;
  • with your consent, or where you would reasonably expect it, tell you about products, pricing and news that we think will interest you (see Marketing).

We only use personal information for the purpose it was collected for, a related purpose you would reasonably expect, or a purpose you have agreed to or the law permits.

Who we share it with

We share personal information with the service providers who help us run the business, and only what they need to do their job:

  • Carriers and freight platforms (including Starshipit and the couriers it books) receive your name, delivery address, phone number and email so they can deliver and send tracking updates.
  • Stripe processes online payments and handles your card details under its own privacy policy.
  • Odoo hosts our business system, where customer, order, invoice and stock records are kept.
  • Cloudflare hosts this website and the order database behind it, and protects it from attack.
  • Google (Google Analytics) and Meta (the Meta pixel, for Facebook and Instagram) receive information about how this website is used, as described under Cookies.
  • Manufacturers and suppliers receive the details needed to process a warranty claim or a special order for you.
  • Accountants, bookkeepers, IT providers and legal advisers who work for us under confidentiality obligations.
  • Debt collection agencies and credit reporting bodies in relation to overdue trade accounts, where the law allows.

We will also disclose personal information where the law requires it, for example to a regulator, a court, or a government agency, or where it is needed to protect someone's safety.

We do not sell, rent or trade personal information.

Overseas disclosure

Some of our service providers store or process information outside Australia. Stripe, Cloudflare, Google and Meta are based in the United States and operate globally; Starshipit is based in New Zealand; Odoo hosts its cloud service in data centres in several countries. Where information is held by these providers it is protected by their contractual and security commitments and, in most cases, by privacy laws similar to Australia's. By ordering from us you consent to this transfer where the Privacy Act requires consent. Our own records are otherwise held in Australia.

Cookies and browser storage

This website uses your browser's local storage to remember what is in your cart between visits. That information stays on your device and is only sent to us when you price or check out the cart.

We use Google Analytics to understand how the site is used, and the Meta pixel to measure and improve our advertising on Facebook and Instagram. Both set cookies and send Google and Meta details of your visit: the pages you view, searches, products you add to the cart, when you start checkout and the value of a completed order, together with your device, browser and IP address. We don't send them your name, email, phone number, address or payment details. Google and Meta handle this information under their own privacy policies, and Meta may link it to a Facebook or Instagram account you are logged in to.

You can opt out of Google Analytics with Google's opt-out browser add-on, control how Meta uses this information in your Facebook ad preferences, or block these cookies in your browser. The site works without them.

Stripe sets cookies on the checkout page that it uses to prevent fraud. The contact form uses Cloudflare Turnstile to check that a person, not a bot, is sending the message; it looks at your browser and connection but does not set advertising cookies. Messages you send are kept in our email and in our business system (Odoo). Our page fonts are loaded from Google Fonts, which records the request, including your IP address, under Google's privacy policy. You can block these in your browser; the site will still work, though checkout depends on Stripe.

Storage and security

Customer and order records are held in our business system and website database, both hosted by providers that use encryption in transit and at rest, access controls and monitoring. Access within All West is limited to the people who need it. We keep personal information for as long as we need it for the purposes above and for the periods tax, accounting and consumer law require (generally at least five years for transaction records), and then delete or de-identify it.

No system is perfectly secure. If a data breach occurs that is likely to cause serious harm to you, we will notify you and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.

Marketing

If you have bought from us or asked us to, we may occasionally email you about new products, specials or things we think a trade operator will want to know. Every marketing email has an unsubscribe link, and you can opt out at any time by using it or by contacting us. We do not send marketing SMS without your consent, and we do not give your details to anyone else for their marketing.

If you sign up to our newsletter on the website, we keep your email address (and first name, if you give it) on our mailing list in our business system and use it only to send the newsletter, about once a month. Every newsletter has an unsubscribe link, and unsubscribing takes you off the list straight away.

Access and correction

You can ask to see the personal information we hold about you, and ask us to correct anything that is wrong or out of date. Contact us using the details below; we may need to verify your identity first. We will respond within 30 days and there is no charge for a reasonable request. If we refuse a request we will tell you why and how to complain.

You can deal with us anonymously or under a pseudonym for general enquiries, but we cannot deliver an order or issue an invoice without your real name and address.

Complaints

If you think we have mishandled your personal information, please contact us first using the details below and tell us what happened. We take complaints seriously and will acknowledge yours within 5 business days and aim to resolve it within 30 days. If you are not satisfied with our response you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

We may update this policy as our business or the law changes. The current version is always at this address, with the date it was last updated at the top.
